This guide explains how to add an internal note to an order in ACP.

Order Notes are used for internal documentation and communication related to a specific order.

They are not visible to customers and are not used by Wineshipping for fulfillment instructions.


When to Use an Order Note

Use Order Notes to document:

  • Address updates requested by a customer

  • Internal follow-ups

  • Special circumstances

  • Historical context

  • Hold explanations

  • Customer communication summaries

Order Notes act as internal record-keeping for your team.


Important

Order Notes:

  • Are visible only to your ACP users

  • Are not monitored by Wineshipping

  • Do not replace gift messages

  • Do not replace fulfillment instructions

Do not use Order Notes for operational shipping requests.


How to Add an Order Note

Step 1: Locate the Order

Search using:

  • Order number

  • Recipient name

  • Address

You may use Spotlight Search if unsure which page the order is located on.


Step 2: Add the Note

There are two ways to add an Order Note:

Add to a Single Order

  1. Click the Order Number.

  2. Scroll to the bottom-right section of the order details.

  3. Click Create Order Note.

  4. Enter your note.

  5. Click Save.

Bulk Add to Multiple Orders

  1. Select the desired orders using the checkboxes.

  2. Click the three vertical dots (⋮) in the bottom action bar.

  3. Select Add Order Note.

  4. Enter the note.

  5. Click Save.


Notifications

You can configure notifications to be alerted when an Order Note is created.

Notification settings are managed in the Notifications section of ACP.
