Just In Time (JIT) FAQ

What is JIT?

JIT (Just In Time) is Wineshipping’s streamlined fulfillment program that allows wineries to send order-specific inventory to Wineshipping for packing and shipping.

JIT is ideal for:

  • Library wines

  • Signed or etched bottles

  • Personalized notes

  • Limited-release items

  • Special merchandise not stocked in a Wineshipping warehouse

With JIT:

  • Wineshipping picks up pre-sorted inventory from the winery

  • Packs it (if not pre-packed)

  • Ships the next business day using any Wineshipping shipping method, including temperature-controlled services

JIT orders receive full access to Wineshipping tools, including:

  • Branded Premium Tracking

  • Rerouting options

  • Hold-at-Location (HAL) services

  • Claims portal access

  • Order analytics

  • Integrations (ShipCompliant, Commerce7, Shopify, etc.)

JIT Labels and Pack Slips simplify logistics and eliminate manual spreadsheets, labeling, and weight calculations.

Can I combine JIT inventory with Wineshipping warehouse inventory?

No.

Each order must be entirely:

  • JIT, or

  • Wineshipping-managed inventory (standard DTC order types)

Wineshipping cannot combine warehouse inventory with JIT-supplied inventory in the same order.

However, for full-service JIT orders, we can add:

  • Insulated packaging

  • Ice packs

  • Premium gift cards

If the order is fully pre-packed (ship as is), we cannot open the box to add ice packs or gift cards.

How do I submit JIT orders?

You can submit JIT orders through your existing integrations or workflow.

Common methods include:

  1. Allowing the order to enter Needs Action (due to insufficient inventory), then converting it to JIT in ACP Action Center.

  2. Sending a SKU that is not set up in ACP, which triggers an Invalid Item exception.

    • Create the item in ACP

    • Mark it as JIT-only

    • Then process the order as JIT

If a SKU exists both at the winery and in Wineshipping inventory, a fulfillment hold can be used to update the order to JIT before processing.

JIT works with:

  • Wine club systems

  • POS systems

  • eCommerce platforms

  • All supported integrations

Where is JIT available?
  • Napa and Sonoma Counties (Napa or Windsor warehouse)

  • Willamette Valley, OR (McMinnville warehouse)

  • California Central Coast (Paso Robles warehouse)

  • Tualatin, OR (Tualatin warehouse)

Will Pass-Through Orders still be available?

Passthrough service has been discontinued and replaced by JIT.

As of July, Passthrough is no longer offered to new clients.

Existing clients using Passthrough will be contacted by Customer Service regarding transition planning.

Do I need to set up SKUs in ACP?

Existing Clients
No action required if SKUs are already set up.

New SKUs
You may upload multiple SKUs via file with retail value and ABV information.

Using defined SKUs improves:

  • Claims support

  • Inventory accuracy

  • Reporting visibility

ShipCompliant users can leverage the ShipCompliant Item Sync feature to automate SKU management.

Is there a discount if I pre-pack (ship as is) my JIT orders?

Full-service JIT rates match standard DTC fulfillment rates.

Pre-packed (ship as is) orders are $5 less per order.

Refer to your rate card for exact pricing details.

How do I schedule JIT pickups?
  • Each client receives one scheduled pickup day per week.

  • Additional pickups (15+ orders) are coordinated based on Open Orders in ACP.

  • If orders are not visible in Open Orders, Wineshipping will not know to pick them up.

  • For additional pickup requests, email logistics.requests@wineshipping.zohodesk.com.

  • Small shipments may be dropped off at Will-Call locations.

Orders typically ship same or next business day depending on arrival time and volume.

Are there additional fees for pickups outside the usual route?

No additional fees apply for pickups on established routes or based on standard order thresholds.

Will Wineshipping pick and pack my JIT orders, or must they arrive pre-packed (ship as is)?

We accept both:

Full-Service JIT (Loose Packed)

  • Items arrive in transfer containers with JIT barcodes applied.

  • Wineshipping packs the order into approved shipping materials.

  • Ice packs and gift cards may be added if applicable.

Pre-Packed JIT (Ship As Is)

  • Orders arrive fully packed and sealed in a shipper.

  • Wineshipping applies the carrier label only.

  • We do not open or modify the package.

  • No ice packs or gift cards can be added.

Can JIT orders use temperature-controlled shipping?

Yes.

JIT orders may use temperature-controlled shipping services.

Orders will hold until the next temperature-controlled departure.

Can JIT orders include ice packs and gift cards?

Yes, for full-service JIT orders.

No, for pre-packed (ship as is) orders.

Will Wineshipping drivers accept JIT orders during inventory drop-offs?

Yes, if:

  • JIT barcodes/labels are applied

  • The driver is returning to Wineshipping the same day

Can I drop off JIT orders at a Wineshipping warehouse?

Yes.

  • Small shipments may be dropped at Will-Call.

  • More than 24 packages requires scheduling via Open Dock.

What time do I need to drop off my JIT orders at the warehouse to guarantee they will ship out the same day?

Orders dropped off by 10:00 AM at Will-Call will ship same day (Ground and Express).

Orders dropped after 10:00 AM may still ship same day, but it is not guaranteed.

Are shipping materials included?

Full-Service Orders
Standard packaging is included. Premium packaging is available for additional fees.

Pre-Packed Orders
Materials can be provided via VAS work order.

Custom Packaging
Available through a VAS work order.

Do I need to split my JIT orders if they are shipping in more than one container?

Yes.

Split if:

  • More than 12 × 750ml

  • More than 6 Magnums

  • Mixed Magnums and 750ml

Use naming convention:

12345
12345.1
12345.2

ACP order splits automatically update tracking in ShipCompliant and Commerce7.

Understanding "Requested Ship Date" for Just-in-Time (JIT) Orders

Requested Ship Date = date the order departs the winery.

It does NOT represent the carrier “in transit” scan date.

Future-dated JIT packages may be handed over, but Wineshipping does not hold future-dated JIT orders once received. They will depart as soon as operationally possible.

When will my JIT order ship?
  • RSD = departure date

  • “In transit” scan typically occurs the following day

  • Premier ground or temperature-controlled shipments may scan later depending on handling

Can I submit a claim for my JIT Pre-Packed (ship as is) orders in ACP?

Yes. JIT uses the standard claims process.

Do I need to reprint my JIT label if I am making a change to my order in ACP before Wineshipping takes possession?

No.

ACP updates will be honored until the order is scanned into the Warehouse Management System. Ensure any item adjustments are made accordingly, Wineshipping is not responsible for checking the orders item accuracy.

Can I buy packaging from you so I can pack my own orders? If so, what is the price?

Yes.

Packaging may be purchased via a VAS request form. Pricing is available in the downloadable rate materials. To order please use this link to fill out our VAS form.

Can I print JIT labels on regular paper?

No.

You must use approved integrated label stock.
